Commitment to privacy

We understand the importance attached to collected data that identifies your personal information and protecting the confidentiality of that information is fundamental to the way we do business.

Our privacy policy relates to all personal information and transactional data you may provide AIP as as a result of doing business with us or that we collect during the use of our applications and websites. Unless you give us permission to use your personal information in another way, we will safeguard your personal information, including how we collect, use, store and disclose that data.

Personal information collected

As part of operating our business, AIP collects certain personal information that is necessary to initiate and service a relationship in order to help you access our products and services. The personal information collected, used and stored, typically consists of business correspondence data that includes name, address, telephone, fax and e-mail addresses.

We understand the sensitive nature of transactional data you provide while using our applications and protecting this data is a critical part of our business practices.

From time to time AIP will use your contact information to provide notices via email or regular mail relating to new products or services, updates to software or system maintenance, our business practices and anything else deemed as important to maintaining a mutually rewarding relationship.

We also collect personal information from prospective employees and AIP retains all information relating to unsuccessful applicants for a period of up to 12 months or for a mutually agreed period, after which time this information is destroyed.

AIP must not collect the personal information if you instruct us not to. However, if you do provide incomplete or inaccurate information, be aware that we may not be able to provide you with the services you requested where the personal information we need is relevant to the service.

Collecting personal information

Most of the time, we collect personal information directly from you. For example, we may collect this information when you fill in an application form, open a new account, deal with us over the phone, contact us in person, via email correspondence, or by visiting one of our websites.

There also may be occasions when AIP needs to source personal information about you from a third party, such as a credit-reporting agency or another business which you have provided as a reference.

Using personal information

As mentioned, we collect your personal information for the primary purpose of establishing, building and servicing a mutually beneficial relationship with you. However, we may also use or disclose your personal information for purposes such as:

  • regulatory reporting and compliance

  • internal accounting and administration

  • maintaining security and fraud protection

  • identifying products or services that may benefit you

  • providing you with our marketing materials

AIP may also provide a list of names and addresses to a mailing house or Australia Post, to mail printed notifications and marketing materials to you. We will not however, disclose names and addresses to third parties for the purposes of allowing them to direct market their products and services to you.

Your consent to disclose

In certain circumstances, it may be necessary to obtain your consent so that we can disclose your personal information to a third party. Your consent is important, and can be express or implied, and can be retracted at anytime.

Express consent can be written or given verbally. For example, when you sign an credit application for an account, you are giving your express consent for us to obtain a credit reference about you from a credit reporting agency. Another example of express consent is when you open an account and you agree to us sending you material about other products or special offers.

Consent is also implied when we can reasonably conclude that you have given consent by some other action you have taken, or when you decide not to take action. An example of this is, when you request products, we disclose identifying information about you to a mailing house so that your products can be mailed to you. Alternatively, if you have applied for a position with us, we will disclose personal information to your referees when processing your job application.

Keeping personal information current

By maintaining your personal information as accurate and current, we can continually provide you with the best service possible. Securing personal information

Keeping your personal information secure and confidential means that we will protect it from unauthorised access, modification or disclosure, misuse and loss. Only authorised users can access your personal information, and access is limited for approved purposes only.

AIP maintains physical security over our paper and electronic data stores and premises, such as locks and security systems, as well as maintaining computer and network security measures for both intranet and internet connections, and user identifiers and passwords to control access to computer systems.

We will only keep your information for as long as it is needed and if your personal information is no longer needed for the purpose it was collected in the first place, we will either permanently destroy or de-identify the stored information.

Privacy policy changes

AIP may also use your personal information for new or unanticipated uses not previously disclosed in our privacy policy. If our personal information practices change at some time in the future we will update the policy changes on our website and notify you of these changes, and provide you with the ability to opt out of these new uses.

Personal information access and resolving concerns

If you are concerned about how your personal information is used you should check our website periodically. If you request us to do so and within a reasonable timeframe, AIP will provide you with all details of your personal information unless the specific information you seek is exempted under the Privacy Act 1988.

Upon making a request for access to personal information, we will first ask you to verify your identity and also specify what information you require. In addition, if you are in the belief that the confidentiality of your personal information has been compromised, you are entitled to complain.
